The Devereaux Devil Ray Board is a group of volunteers who are interested in making the most out of the team each season. Our members work behind the scenes and during practices and swim meets to help the team operate. Positions with an * are positions excluded from additional volunteer requirements throughout the season.
Board Positions Include:
* President: Coordinate/oversight all committees
* Vice President: In charge of registration / website updates
* Treasurer: The Treasurer is responsible for keeping track of all things financial with the swim team. They will ensure money earned via registration, team store, concessions, and sponsorships. Treasurer will also be responsible for managing any team purchases needed and Nonprofit tax filing each year. Treasurers must agree to a minimum of 3 years in the position.
* TSA Representative: Communicates with the other team before each dual meet and is the official in charge of the swim meet. The TSA Representatives will need to attend off-season TSA Meetings on behalf of Devereaux.
Parent Liaison: The Parent Liaison is the go-to between coaches and parents. This person is responsible for making sure parents have someone to voice questions or concerns to so that coaches are aware. Takes Meeting Minutes for the Swim Team Board Meetings.
Non-Board Positions:
* Meet Administrator: Oversees all swim team computer systems used to manage the team and run swim meets.
Tasks include: Setup or assist with setup for all team events. Coordinates with coaches regarding meet entries, RSVPs and closing of the system for the event. Generate and publish heat sheets. Validating and emailing final meet results. Troubleshooting computer issues. Printing all meet documents (timer sheets, place judge reports, heat sheets, results).
* Volunteer Coordinator: The Volunteer Coordinator is responsible for all aspects of the volunteer program.
Tasks include identifying and securing volunteers for roles, ensuring adequate volunteer coverage at all events and swim meets, assists with supervising and possibly training volunteers for roles during events and swim meets, identifying volunteers for end of year awards and tracking volunteer shift totals. Creates, manages and updates required volunteer job position templates in the system. Assigns appropriate volunteer template to each event in system. Responsible for setup and closure of dates for volunteer jobs on each specific events. Ensure templates are open to team.
* Awards / Ribbons Coordinator: The Awards/Ribbons Coordinator orders, assembles, and organizes swimmer and volunteer awards, including meet ribbons, trophies, medals, etc.
Pep Parents: Coordinates and Supervises all events throughout the season including: Saturday Breakfast of Champions, End of Season Awards Party, Jr/Assist/Head Coach gifts throughout the season, Coordinates Mock Meet Team Picture, etc. Works with Treasurer for the budget for the year.
* Concessions Manager: Serves during Home Meets or ensures this position is covered. Tasks include ordering & coordinating of food and supplies, working with Treasurer to determine pricing/budget, set up and take down of concessions equipment.
* Fundraising Coordinator: The fundraising coordinator will need to be involved as early as January to begin planning. Promote fundraiser through flyers, poster around the pool, emails to families, etc. Contact potential sponsors, setup sponsorship and advertising, order sponsorship banners and provide each sponsor a team picture and thank you during the swim team season.
* Spirit wear Coordinator: Organizes all aspects of team merchandise, including the design, selection, ordering, and distribution of all team apparel, caps, and swim suits and updates the team website with merchandise offerings.
* Equipment Manager: The Equipment Manager is responsible for all swim team equipment, including lane ropes, Dolphin System, speakers, pool flags, etc. Tasks include managing meet setup, clean up, and oversight of equipment during extreme weather.
